Data Usage and Privacy Statement


 

This Online Application System is a software owned by and hosted at the Max Planck Institute of Molecular Cell Biology and Genetics (MPI-CBG) in Dresden, Germany. The Online Application System is jointly used by the International Max Planck Research School for Cell, Developmental and Systems Biology (IMPRS-CellDevoSys) and the Dresden International Graduate School for Biomedicine and Bioengineering (DIGS-BB) under the roof of the Dresden International PhD Program (DIPP).


Purpose of Data Collection

If you wish to apply for a doctoral position at the IMPRS-CellDevoSys or the DIGS-BB, you will need to apply through this Online Application System according to standardized format which allows us to evaluate applications based on comparable information.

In order to create an account in this Online Application System you must consent to the collection and processing of your data as described on this page. Without that consent it is not possible to create an account, and therefore not possible to apply to our doctoral programs since, without you providing the requested information, we would not be able to assess your application.

In the registration process, we collect basic personal and contact data to be able to get in touch with you during the whole application process. Moreover, we ask you to list two referees who will be invited to submit a confidential recommendation letter in context with your application. You will need to confirm their permission that you pass along their contact data. Additionally, we request you to inform us how you learned about our program. This information is optional and will not have any impact on your application.

In the application process, we ask you to provide information about your education, your research experience, and your research interest. This enables us to assess your academic and research performance and experience.

Data Processing

Collection of Data

Data is collected electronically using this Online Application System and stored on secure servers at the Max Planck Institute of Molecular Cell Biology and Genetics (MPI-CBG) in Dresden, Germany. The server administrators are highly committed to keeping the data safe and are undertaking measures to the best of their current knowledge and ability to prevent security breaches. However, due to the unpredictable and constantly changing nature of technology a full guarantee of data security cannot be given.

Registration

The following data will be collected during the registration part of the application process

  • Your full name
  • Date and city of birth
  • Gender
  • Current contact address
  • E-mail address
  • Telephone number
  • Skype ID

We will also ask you to give us contact data of two referees. You will need to confirm that you have asked the referees for permission to provide their data. For each referee, we ask you to give the following data:

  • Full name of the referee
  • Academic title
  • Their position
  • University/Institution
  • City of University/Institution
  • Work e-mail address
  • Work phone number
  • Professional website

The referees will be contacted via an automated e-mail after you submit your registration. The e-mail contains a private personalised link to a reference form. Additionally, in rare cases, a program representative might contact a referee if further clarification is needed during the evaluation process. The recommendations are confidential and not accessible to you. Before sending the referee's data you must agree to that fact.

Additionally, we ask you to indicate how you learned about our program. This information is optional.

Application

The following data will be collected during the application part of the process, after you submitted your registration:

  • Scientific CV
  • Information on your degrees, courses, exams, and further interests not directly related to your university degree
  • Information about your research experience, specific skills/expertise, research accomplishments, and honors/awards
  • Research interests and motivation
  • Research fields and research groups of interest
  • Information whether you wish to be considered by the partner program
  • Documents to be uploaded: University transcripts & certificates, additional documents which are considered by you to be beneficial

Use of Data

The data collected in our Online Application System will only be used for the purpose of the application and evaluation process. Data can solely be accessed by the program administration and faculty members of both the IMPRS-CellDevoSys and the DIGS-BB involved in the evaluation process - no matter which program you are applying to. Access may also temporarily be granted to internal experts if required for the review process. All parties and persons who can access the data are committed to maintaining confidentiality.

Change and Deletion of Data

The data given during the registration part of the process can be accessed but not changed by the applicant after submission. Specifically, e-mail addresses which are used as the primary contact cannot be changed since these data define the identity of the applicant and thus need to be unique. In justified cases the applicant has the right to rectify personal information given during the registration process which in that case needs to be done by the administrator.

Application material which is requested in the application part (e.g. CV, education, research experience) cannot be changed after submission – neither by the applicant nor by the administrators. However, you can save and review the data to be submitted, and still download the data as a PDF after having logged in to your account until the next application round opens. After that date you can contact the PhD Office and ask for that PDF.

Data of candidates who started but did not finish the application process will be deleted 3 months after the registration date.

Right of Withdrawal

You can withdraw your consent with our Privacy Policy at any time. If you want to do so and have your complete set of application data permanently deleted from our database before the end of the mentioned timeframes, please contact the PhD Office.

Transmission

A transmission to third parties will not take place unless settled by law or other legal basis or in case of your explicit consent.


Server Log Files

For technical reasons, our servers and applications save personal details upon your visit to our websites in their log files. However, these data are only used for the immediate provision of our services, for troubleshooting purposes or for attack prevention and will be deleted automatically after 10 days.

  • Your IP address
  • Date and time of your website visit
  • The address of the website visited
  • The address of the previously visited website (referrer)
  • Name and version of your browser and operating system

In case of questions regarding our data policy or this privacy statement, please contact the PhD Office at phd@mpi-cbg.de. Similarly, if you wish to access your personal data or have it deleted, please contact the same address. For validation purposes, please use the e-mail address you provided in the application. We will ask you to give additional data to verify the legitimacy of the request. If you no longer have access to the e-mail address you were using, please contact us with another address so that we can find a way to validate the legitimacy of the request.
